The Vault — Bulk Import & Export with Excel or CSV
If you already track your gold in a spreadsheet — or if you're switching to The Vault from another tracker — you don't need to retype everything by hand. The Vault has a small import / export feature: download a template, fill in your purchases, upload, done. The same flow works in reverse for backups.
Why Bulk Import / Export?
- Backfill years of history in one go — long-term holders can drop in 5 / 10 / 30 purchases without typing each one.
- Migrate from another tracker — most apps export to CSV. Map the columns, upload, you're in.
- Take a backup — exporting to CSV / XLSX gives you a portable copy of every entry, in case you ever want to leave or just keep an offline record.
The Template
Open /vault/import on your dashboard. There are two download buttons — pick the format you prefer:
- CSV template — opens in any text editor or Google Sheets / Excel
- Excel template — has an Instructions sheet up front and a sample row in the Template sheet
Both have the same six columns. The Excel one is friendlier if you'd rather see a glossary alongside.
Filling the Columns
| Column | Required | Notes |
|---|---|---|
| quantity | Yes | A number (e.g. 1, 0.5, 37.5). What you bought. |
| unit | Yes | One of: oz · g · kg · luong · tael_hk · tael_cn · baht · tola · don. Same unit applies to the price. |
| date | Yes | YYYY-MM-DD (e.g. 2026-04-14). DD/MM/YYYY also accepted. |
| price | Yes | Price per unit you paid (e.g. if you bought 1 lượng for ₫170M, price is 170000000). Total cost is computed automatically as quantity × price. |
| dealer | Optional | Free text. Where you bought it (e.g. SJC HCM, APMEX, local jeweller). |
| notes | Optional | Anything you want to remember (e.g. 1oz bar serial #X1234). |
Two simplifications worth knowing:
- One metal per file. You pick the metal (Gold / Silver / Platinum / Palladium) in the upload form. Every row in the file is for that metal.
- Currency follows your vault. If your vault is set to VND, every imported entry is recorded in VND. To import in a different currency, change your vault's currency in the dashboard header first.
Uploading the File — Step by Step
Step 1. From your vault dashboard, click Import in the top-right header (next to Add a purchase):
Step 2. The importer page opens. The pill at the very top is a shortcut to this guide. Below it: a template downloader (CSV or Excel), then the upload form.
Step 3. Pick the metal (every row in your file is for this metal — see "One metal per file" above) and choose your .csv or .xlsx. Click Import file.
Reading the Results
Step 4. Within a couple of seconds you land on the results page:
Two big counters at the top:
- Imported — new entries added to your vault
- Skipped — rows we couldn't read (missing required columns, bad date, non-numeric quantity, etc.)
Skipped rows are listed below with the row number (matching the row in your spreadsheet) and the specific reason. Fix those rows in your file and re-upload — only the fixed rows will be imported (but see the next section).
Step 5. Head back to your dashboard. Your weight, value, and chart all reflect the new entries immediately:
Step 6. Scroll down to Your purchases — every imported row appears in the journal alongside your existing entries:
No De-duplication
Important: The importer never checks for duplicates. If you upload the same file twice, you get two copies of every row. If you fix one bad row and re-upload, every other row is imported again.
If you over-import, go to /vault/entries and delete the duplicates by hand. The dashboard's per-metal P&L updates immediately.
Why no de-dup? Two purchases on the same date, with the same weight, at the same dealer, with the same price, are technically indistinguishable — but they could legitimately be two separate transactions (you bought two 1-oz coins from APMEX on the same day). We don't second-guess that. You know your own ledger.
Exporting Your Data
Click Export on the dashboard header. You get a CSV download of every entry — same columns as the import template, plus three derived ones:
metal— the commodity slug (e.g.world-gold-spot)entry_type—buyorselltotal_cost— quantity × price, in your vault's currency
For an Excel export, append .xlsx to the URL: /vault/export.xlsx. Same data, Excel format.
The exported file round-trips cleanly back through the import form (drop the three derived columns first if you want to re-import — or just keep the file as your offline backup).
